JOB DESCRIPTION FOR ARTS ADMINISTRATOR
KILLARNEY TURTLE MOUNTAIN ARTS COUNCIL
The Arts Administrator oversees the administration of the KTMAC activities so as to assure policy, as determined by the board, is carried out. The position is 20 to 30 hours per week.

ADMINISTRATIVE & OFFICE DUTIES:
Oversee all administrative functions of the Arts Council, including committees
Prepare such reports and documents as required to fulfill the mandate of the council
Serve as liaison with local, provincial and national interests and agencies while encouraging direct council participation in relevant provincial agencies
Research funding sources; work with council on grant applications and other activities for immediate and long-term funding of the Arts Council and, apply for same
Maintain all non-fiscal records of the KTMAC, including minutes, correspondence and other internal documents (constitution, policies, contracts, etc.)
Maintain databases
Volunteer management and recruitment
Provide support to the Board by preparing meeting agenda and supporting materials to be distributed in advance of meetings, taking minutes at meetings
Deal with all facility and equipment bookings for the Heritage Home for the Arts; maintain appropriate records
Monitor staff (summer student, janitor) on an ongoing basis
Order and manage all office and janitorial supplies, including inventory control
Ensure KTMAC mail is picked up and dropped off regularly
Identify and evaluate risks to the organization’s people, property, finances, goodwill, and image and implement measures to control risks as directed by the Board
Coordinate housekeeping duties to keep the centre neat, clean, tidy and safe
FINANCIAL RECORDS:
Collect incoming moneys, prepare receipts and accounts for payment on a weekly basis for the Finance Committee
Provide financial information to the Finance Committee and store all financial records of the Council including accounts payable, accounts receivable, general ledger, monthly trial balance and interim financial statements in partnership with the Finance Committee, according to accepted accounting principles
Work with the Finance Committee to assist & advise in the preparation of the annual budget to be submitted for the approval by Board
Prepare & maintain petty cash and float for all KTMAC activities
Gift Store Commission Sales to be issued monthly
MARKETING & NETWORKING:
Prepare and distribute advertising on behalf of KTMAC, its committees and events
Solicit sponsorships, memberships and donations in collaboration with committees
Serve as liaison between KTMAC community partners, including Manitoba Arts Network, Municipality of Killarney-Turtle Mountain, and area schools, Canadian Heritage, Manitoba Arts Council
Continue working relationship with Manitoba Arts Network; keep in touch with other arts councils in the province
RESPONSIBILITIES TO BOARD AND COMMITTEES
Ex-officio member of all Board approved committees
Attend regular monthly board meetings, prepare agenda and record minutes. Attend committee meetings when requested. Serve as resource in setting policy and programming
Remind board members prior to meetings
Maintain close communication with committee chairs and forward relevant information that comes to the office to appropriate committee chairs
Prepare program and evaluation sheets for all workshops, classes and public events for completion by committee chairs
GALLERY AND EVENTS DUTIES
Curate all exhibitions including wall preparations and clean up
Performing Arts and Events – secure volunteers, coordinate venue

The Heritage Home for the Arts is open from Tuesday to Saturday, 12 noon to 4:00 pm.
The Heritage Home is also open for evening classes, workshops, Coffee Houses and events. Please consult our Exhibition and Courses and Events page for more information about upcoming programming.
